1. WHAT INFORMATION DO WE COLLECT?

Personal information you disclose to us

In Short: We collect personal information that you provide to us.

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:
  • names
  • email addresses
  • usernames
  • passwords
  • contact or authentication data
  • flight bookings
  • Booking and itinerary content you submit to import a trip, including a pasted confirmation email or an email you forward to your Trip Conductor forwarding address (sender address, subject line, message text and attachments).
  • other travel & logistic arrangements
  • contact preferences
  • phone numbers
  • job titles
Sensitive Information. We do not process sensitive information.

Application Data. If you use our application(s), we also may collect the following information if you choose to provide us with access or permission:
  • Push Notifications. We may request to send you push notifications regarding your account or certain features of the application(s). If you wish to opt out from receiving these types of communications, you may turn them off in your device's settings.
This information is primarily needed to maintain the security and operation of our application(s), for troubleshooting, and for our internal analytics and reporting purposes.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

Information received when you use Sign in with Apple

In Short: If you choose Sign in with Apple, Apple provides the limited information needed to create and authenticate your Trip Conductor account.

Depending on the choices you make with Apple, this information may include Apple's stable account identifier for our Services, your email address (including an Apple private relay address if you choose Hide My Email), and your name when Apple supplies it during the first authorization. We use this information only for account creation, authentication, security, and support. Apple and our authentication provider, Supabase, process the authorization request on our behalf.

To support account deletion, our server may retain an Apple refresh credential associated with your account and the Apple client that issued it. We protect this credential with authenticated encryption, do not expose it to browser clients, and use it only to revoke Sign in with Apple access when you delete your account. We delete the retained credential after successful revocation or when your account is deleted. If Apple cannot confirm automatic revocation, we still delete your Trip Conductor account and provide instructions for removing access in Apple Account settings.

Google sign-in, Android notifications, and Google Play

In Short: Google processes only the account, delivery, and purchase information needed for the Google features you choose to use.

If you choose Continue with Google, Google may provide a stable account identifier, your verified email address, name, and profile image. We and our authentication provider, Supabase, use this information for account creation, authentication, security, account linking, and support. Trip Conductor does not request access to your Gmail, Google Drive, contacts, calendar, or other Google Account content, and does not retain a Google access token or refresh token.

If you enable Android notifications or use the Android home-screen widget or live trip update, Firebase Cloud Messaging processes an app-installation token and the notification or privacy-safe aggregate board content needed to deliver that feature to your device. The widget and live trip update do not contain traveler names, routes, airport codes, flight numbers, email addresses, or account identifiers.

If you subscribe through Google Play, Google processes your payment under its own terms. Google provides us with the subscription product, status, expiration, test-purchase status, and an opaque purchase credential and account-binding value so we can verify and deliver your plan. We do not receive or store your full payment-card details. We store only a one-way hash of the Google Play purchase credential after verification.

Android map services

In Short: Google Maps receives technical Maps SDK data and the viewed map regions needed to display the map, but Trip Conductor does not add your account records or private itinerary identifiers to those requests.

When you open Flight Map or Journey Map in the Android app, the Maps SDK for Android loads Google Maps content. Standard uses Google's basic map, Hybrid uses Google satellite imagery with roads and labels, and Satellite uses Google satellite imagery without labels. Google's current SDK disclosure says the SDK automatically collects request metadata (including device and SDK metadata and an internal library-usage attribution identifier that Google says is not used to identify the user or for advertising attribution), SDK stack traces and crash metrics, IP address, and a Maps-SDK-specific pseudonymous identifier to maintain and improve Google services. Depending on how the map is used, Google may also collect map interactions such as panning and zooming.

Google Maps Platform also receives the coordinates and viewed geographic region needed to provide the basemap. Because the map initially fits your itinerary routes, those regions can correspond to flight origins, destinations, or route corridors. Trip Conductor does not request Android device-location permission or enable the Google Maps My Location layer.

Trip Conductor draws route lines, airport points, and aircraft markers as app-supplied overlays on your device. We do not intentionally add a Trip Conductor bearer credential, session cookie, account, traveler, trip, or flight identifier, traveler name, booking reference, or raw route-overlay payload to Google Maps requests. This does not make the complete map wholly on-device: the route-fitted viewport can still reveal itinerary geography, and Google receives the SDK data described above.

Google supplies the attribution shown inside the map. Android's Standard, Hybrid, and Satellite labels correspond to the iOS choices, but Google Maps and Apple Maps may differ in imagery, coverage, labels, styling, and update timing; we do not promise a pixel-for-pixel match. Use of Google Maps features and content is subject to the Google Maps/Google Earth Additional Terms and the Google Privacy Policy. Google publishes current Maps SDK collection details in its Maps SDK for Android Data Safety guidance.

Error reporting

We collect error reports via Sentry to improve stability. These reports do not include your email or trip details; your user identifier is anonymized.

Emails you forward to us

In Short: You can forward a booking confirmation to your own Trip Conductor forwarding address. We read it, with help from our AI provider, to find the flight details, and you confirm before anything is added to your board.

You can create a personal forwarding address in Account settings. It ends in in.tripconductor.ai. You can replace it with a new one at any time (up to three times in 24 hours); mail sent to the old address is no longer accepted. We keep a record of your current and past forwarding addresses until you delete your account.

When you forward an email there, we receive the sender's address, the subject line, the message text, and up to four supported attachments, such as PDFs and attached emails. We use them only to find flight details for you. To do this, we send the subject, plain-text message and attached-email text from our servers to OpenAI, our AI provider, shortened if they are long. We send PDF attachments only when the message text is short. We do not remove names or email addresses first, so they can appear inside what we send. The one identifier we change is your account: we send a scrambled account code instead of your account identifier. Storage of the result is turned off. We show you the flight details we find and you confirm before anything is added to your board.

How long we keep it:
  • The message text, the attachments and the raw reading we take from them are a temporary copy. We remove it when we finish processing the message, and our automatic cleanup removes any of it that remains once it is more than 24 hours old. That cleanup runs every two minutes.
  • A short record of each forwarded email (sender address, subject line, and the outcome) is kept for 30 days so we can show you what happened and prevent abuse, then removed by the same cleanup.
  • The flight details we suggest for you to check, including the ones you dismiss or leave, are kept for up to 30 days, then removed by our automatic cleanup; they are removed sooner if the forwarded email's record is deleted first. Flights you add become part of your board like any other flight.
  • Postmark, our email provider, receives the email first and keeps its own short-term copy under its own policy.

You can dismiss any suggestion, replace your forwarding address, or ask us to delete your forwarded email records at any time using the contact details below. Deleting your account deletes all of them. Please forward only emails that you are entitled to share with us.

Sharing a traveler with other people

In Short: If you share a traveler with someone, they can see that traveler's flights. You choose how much of the traveler's past travel they see, and you can stop sharing at any time.

You can invite another person by email to follow a traveler you track. We store the invited person's email address and show them your email address and the traveler's name so they know who shared it. Until they accept, they see nothing else.

Once they accept, they can see the traveler's upcoming and current flights and their live status, and, if they turn it on, receive alerts about those flights. They can also see the traveler's flight log (past flights with routes, times and delays) and travel stamps, and any stays you have added for the traveler (the accommodation name, location, and check-in and check-out dates). For each person you can choose Off, flights since you started sharing, or the full flight log, which includes the traveler's earlier flights. The default is flights that arrived at or after the moment you invited them. Choosing Off turns the flight log and travel stamps off for that person, but they can still see completed flights while those flights remain on the shared board; we keep a flight there until it is archived, which can be some time after it lands. If you stop sharing and invite the same person again later, the window starts again from the new invitation.

People you share with can only view; they cannot change the traveler's flights. You can change what each person sees or remove them at any time, and they can leave at any time. Deleting your account ends all of your shares. Please share a traveler only if you are authorized to do so.

Information automatically collected

In Short: Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected automatically when you visit our Services.

We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.

Like many businesses, we also collect information through cookies and similar technologies.

The information we collect includes:
  • Log and Usage Data. Log and usage data is service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services and which we record in log files. Depending on how you interact with us, this log data may include your IP address, device information, browser type, and settings and information about your activity in the Services (such as the date/time stamps associated with your usage, pages and files viewed, searches, and other actions you take such as which features you use), device event information (such as system activity, error reports (sometimes called "crash dumps"), and hardware settings).

2. HOW DO WE PROCESS YOUR INFORMATION?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
  • To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
  • To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service.
  • To respond to user inquiries/offer support to users. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service.
  • To send administrative information to you. We may process your information to send you details about our products and services, changes to our terms and policies, and other similar information.
  • To fulfill and manage your orders. We may process your information to fulfill and manage your orders, payments, returns, and exchanges made through the Services.
  • To request feedback. We may process your information when necessary to request feedback and to contact you about your use of our Services.
  • To protect our Services. We may process your information as part of our efforts to keep our Services safe and secure, including fraud monitoring and prevention.
  • To identify usage trends. We may process information about how you use our Services to better understand how they are being used so we can improve them.
  • To save or protect an individual's vital interest. We may process your information when necessary to save or protect an individual's vital interest, such as to prevent harm.

3. WHAT LEGAL BASES DO WE RELY ON TO PROCESS YOUR INFORMATION?

In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason (i.e., legal basis) to do so under applicable law, like with your consent, to comply with laws, to provide you with services to enter into or fulfill our contractual obligations, to protect your rights, or to fulfill our legitimate business interests.

If you are located in the EU or UK, this section applies to you.
The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. As such, we may rely on the following legal bases to process your personal information:
  • Consent. We may process your information if you have given us permission (i.e., consent) to use your personal information for a specific purpose. You can withdraw your consent at any time.
  • Performance of a Contract. We may process your personal information when we believe it is necessary to fulfill our contractual obligations to you, including providing our Services or at your request prior to entering into a contract with you.
  • Legitimate Interests. We may process your information when we believe it is reasonably necessary to achieve our legitimate business interests and those interests do not outweigh your interests and fundamental rights and freedoms.
  • Legal Obligations. We may process your information where we believe it is necessary for compliance with our legal obligations, such as to cooperate with a law enforcement body or regulatory agency, exercise or defend our legal rights, or disclose your information as evidence in litigation in which we are involved.
  • Vital Interests. We may process your information where we believe it is necessary to protect your vital interests or the vital interests of a third party, such as situations involving potential threats to the safety of any person.
If you are located in Canada, this section applies to you.
We may process your information if you have given us specific permission (i.e., express consent) to use your personal information for a specific purpose, or in situations where your permission can be inferred (i.e., implied consent). You can withdraw your consent at any time.
In some exceptional cases, we may be legally permitted under applicable law to process your information without your consent, including, for example: if collection is clearly in the interests of an individual and consent cannot be obtained in a timely way; for investigations and fraud detection and prevention; for business transactions provided certain conditions are met; if it is contained in a witness statement and the collection is necessary to assess, process, or settle an insurance claim; for identifying injured, ill, or deceased persons and communicating with next of kin; if we have reasonable grounds to believe an individual has been, is, or may be victim of financial abuse; if disclosure is required to comply with a subpoena, warrant, court order, or rules of the court relating to the production of records; or if the collection is solely for journalistic, artistic, or literary purposes.

4. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

In Short: We may share information in specific situations described in this section and/or with the following third parties.

We may need to share your personal information in the following situations:
  • Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
  • Affiliates. We may share your information with our affiliates, in which case we will require those affiliates to honor this Privacy Notice. Affiliates include our parent company and any subsidiaries, joint venture partners, or other companies that we control or that are under common control with us.
  • Business Partners. We may share your information with our business partners to offer you certain products, services, or promotions.
  • Other users you choose. If you share a traveler with another Trip Conductor user, we show that person the traveler's name, your email address, and the flights and flight history you choose to share, as described in "Sharing a traveler with other people" above.
  • Service Providers. We may share your information with third-party vendors and service providers that perform services for us or on our behalf and require access to such information to do that work — for example, payment processing (Stripe), application hosting and database/authentication (Supabase, Netlify), transactional email delivery (Postmark, Microsoft 365), receiving the emails you forward to us (Postmark), flight-status and travel data (FlightAware, AeroDataBox), weather data (NOAA), Android mapping resources (Google Maps Platform), and artificial-intelligence processing (OpenAI).

5. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?

In Short: We may use cookies and other tracking technologies to collect and store your information.

We may use cookies and similar tracking technologies (like web beacons and pixels) to gather information when you interact with our Services. Some online tracking technologies help us maintain the security of our Services and your account, prevent crashes, fix bugs, save your preferences, and assist with basic site functions.

On our public marketing pages only, and only after you select “Allow analytics,” we use the LinkedIn Insight Tag to measure visits and advertising performance and to create advertising audiences. LinkedIn may receive device, browser, IP-address, referring-page, and page-visit information and may use cookies or similar identifiers under its own privacy terms. We do not enable this tag on dashboard, account, billing, authentication, traveler, or other application pages, and we do not use LinkedIn Enhanced Matching. You can decline analytics when first asked or change your selection later using the “Analytics choices” control on a public marketing page.

6. DO WE OFFER ARTIFICIAL INTELLIGENCE-BASED PRODUCTS?

In Short: We offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies.

As part of our Services, we offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies (collectively, "AI Products"). These tools are designed to enhance your experience and provide you with innovative solutions. The terms in this Privacy Notice govern your use of the AI Products within our Services.

Use of AI Technologies. We provide the AI Products through third-party service providers ("AI Service Providers"), including OpenAI. For Briefing, Ask Conductor, booking import, email forwarding, and AI-assisted alert wording, the minimum relevant travel context or submitted import content is sent from our servers to OpenAI. Strike research sends route-scope information without traveler identity. Each OpenAI Responses request is configured as store: false, which disables storage of the generated Response for later retrieval through the API; the API credential remains server-side and is never included in the web, iOS, or Android app. As outlined in this Privacy Notice, your input, output, and personal information will be shared with and processed by these AI Service Providers to enable your use of our AI Products. You must not use the AI Products in any way that violates the terms or policies of any AI Service Provider.

Our AI Products. Our AI Products are designed for the following functions: extracting trip details from booking content you submit; natural-language summaries of flight-status and risk data; conversational answers about your tracked flights.

How We Process Your Data Using AI. All personal information processed using our AI Products is handled in line with our Privacy Notice and our agreement with third parties. This ensures high security and safeguards your personal information throughout the process.

7. HOW LONG DO WE KEEP YOUR INFORMATION?

In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

8. HOW DO WE KEEP YOUR INFORMATION SAFE?

In Short: We aim to protect your personal information through a system of organizational and technical security measures.

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.

9. DO WE COLLECT INFORMATION FROM MINORS?

In Short: We do not knowingly collect data from or market to children under 18 years of age or the equivalent age as specified by law in your jurisdiction.

We do not knowingly collect, solicit data from, or market to children under 18 years of age or the equivalent age as specified by law in your jurisdiction, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18 or the equivalent age as specified by law in your jurisdiction or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. If you become aware of any data we may have collected from children under age 18, please contact us at contact@tripconductor.ai.

10. WHAT ARE YOUR PRIVACY RIGHTS?

In Short: Depending on your state of residence in the US or in some regions, such as the European Economic Area (EEA), United Kingdom (UK), Switzerland, and Canada, you have rights that allow you greater access to and control over your personal information. You may review, change, or terminate your account at any time, depending on your country, province, or state of residence.

In some regions (like the EEA, UK, Switzerland, and Canada), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; (iv) if applicable, to data portability; and (v) not to be subject to automated decision-making. In certain circumstances, you may also have the right to object to the processing of your personal information. You can make such a request by contacting us by using the contact details provided in the section "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below.

We will consider and act upon any request in accordance with applicable data protection laws.

If you are located in the EEA or UK and you believe we are unlawfully processing your personal information, you also have the right to complain to your Member State data protection authority or UK data protection authority.

If you are located in Switzerland, you may contact the Federal Data Protection and Information Commissioner.
Withdrawing your consent: If we are relying on your consent to process your personal information, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us by using the contact details provided in the section "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below.

However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.

Opting out of marketing and promotional communications: You can unsubscribe from our marketing and promotional communications at any time by clicking on the unsubscribe link in the emails that we send, or by contacting us using the details provided in the section "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below. You will then be removed from the marketing lists. However, we may still communicate with you — for example, to send you service-related messages that are necessary for the administration and use of your account, to respond to service requests, or for other non-marketing purposes.

Account Information

If you would at any time like to review or change the information in your account or terminate your account, you can log in to your account settings and update your user account. Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.

Cookies and similar technologies: Most Web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Services.

If you have questions or comments about your privacy rights, you may email us at contact@tripconductor.ai.

11. CONTROLS FOR DO-NOT-TRACK FEATURES

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.

California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognizing or honoring DNT signals, we do not respond to them at this time.

12. DO UNITED STATES RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?

In Short: If you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia, you may have the right to request access to and receive details about the personal information we maintain about you and how we have processed it, correct inaccuracies, get a copy of, or delete your personal information. You may also have the right to withdraw your consent to our processing of your personal information. These rights may be limited in some circumstances by applicable law.

Categories of Personal Information We Collect. We have collected the following categories of personal information in the past twelve (12) months: identifiers (such as name, email address, account name, IP address); personal information as defined in the California Customer Records statute; commercial information (such as transaction information and payment information); and inferences drawn from collected personal information. We do not collect biometric information, device GPS or sensor location, audio/visual information, professional or employment-related information, education information, or sensitive personal information. The Android Maps SDK processing of IP address and route-fitted map geography is described in the Android map services section above.

We do not sell personal information. If a visitor affirmatively allows analytics on a public marketing page, we disclose limited internet or other electronic-network activity to LinkedIn for advertising measurement and audience creation as described in the Cookies and Other Tracking Technologies section. The LinkedIn tag is not enabled on authenticated application or traveler-data pages. Depending on applicable law, this use may be considered “sharing” for targeted advertising. Website visitors can decline or withdraw LinkedIn analytics using the “Analytics choices” control on a public marketing page. Trip Conductor does not use a mobile advertising SDK, request Apple App Tracking Transparency permission, or use the advertising identifier in the current iOS or Android apps.

Your Rights

You have rights under certain US state data protection laws. However, these rights are not absolute, and in certain cases, we may decline your request as permitted by law. These rights include the right to know whether or not we are processing your personal data; the right to access your personal data; the right to correct inaccuracies in your personal data; the right to request the deletion of your personal data; the right to obtain a copy of the personal data you previously shared with us; the right to non-discrimination for exercising your rights; and the right to opt out of the processing of your personal data if it is used for targeted advertising, the sale of personal data, or profiling in furtherance of decisions that produce legal or similarly significant effects.

How to Exercise Your Rights

To exercise these rights, you can contact us by emailing us at contact@tripconductor.ai, or by referring to the contact details at the bottom of this document. Upon receiving your request, we will need to verify your identity to determine you are the same person about whom we have the information in our system.

13. DO WE MAKE UPDATES TO THIS NOTICE?

In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.

We may update this Privacy Notice from time to time. The updated version will be indicated by an updated "Revised" date at the top of this Privacy Notice. If we make material changes to this Privacy Notice, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. We encourage you to review this Privacy Notice frequently to be informed of how we are protecting your information.

14. HOW CAN YOU CONTACT US ABOUT THIS NOTICE?

If you have questions or comments about this notice, you may email us at contact@tripconductor.ai.

15. HOW CAN YOU REVIEW, UPDATE, OR DELETE THE DATA WE COLLECT FROM YOU?

Based on the applicable laws of your country or state of residence in the US, you may have the right to request access to the personal information we collect from you, details about how we have processed it, correct inaccuracies, or delete your personal information.
